Job Description:

The Chesapeake is in need of a motivated, cheerful, and professional Business Office Assistant.The Business Office Assistant is a key employee of the operation of the Chesapeake. The Business Office Assistant shall strive to represent the Business Office in a positive manner, exuding characteristics and traits that are representative of a faith-based, non-profit organization. The Business Office Assistant shall demonstrate loyalty and support to those served with a positive attitude. The Business Office Assistant is encouraged to share ideas that can lend support to the mission of The Chesapeake.Essential Duties and Responsibilities:

  • Overseeing clerical tasks, such as sorting and sending mail
  • Keeping an inventory of office supplies and ordering new materials as needed
  • Maintaining files
  • Multi-task capable
  • Answering phone calls and taking detailed messages for the Executive Director
  • Taking and delivering messages
  • Ensuring the office runs smoothly
  • Scheduling meetings and sending meeting invites to attendees
  • Ability to perform Accounts Payable functions and basic accounting functions
  • Process Accounts Payables
  • Handle facility petty cash drawer
  • Monitor and manage Executive Director's calendar assisting with changes, conflicts and meeting locations/arrangements
  • Coordinate Manager on Duty programMinimum Qualifications:
    • High School Diploma or GED required
    • AAS Business or Accounting preferred
    • 2 years of related experience
    • Demonstrated skill with adding machine and other office equipment
    • Advanced level of PC skills
    • Knowledge of and experience with electronic accounting systems
    • Ability to provide business office and accounting services in a long-term care
    • Organizational, managerial, and social skills
    • Ability to establish good rapport with senior adults
    • Previous experience in gerontological care preferred
