Job Description:
Overview: This position is an inside sales and planning manager
responsible for qualifying, booking and planning the needs of small
overnight groups, day meetings and catering business to meet group
and catering sales goals. The nature of this business is often
times a short-term booking requiring immediate response and
planning. Incumbent spends approximately 25-50% of the time
qualifying sales leads with balance of time planning and
coordinating needs of small groups. Reports to the Director of
Group Sales.
Responsibilities:
- Executes meeting operations from initial inquiry through
departure, ensuring a seamless experience for the customers of the
Company
- Presents the property to potential clients in a positive and
professional manner
- Works closely with VP Sales & Marketing and Director to
identify and book potential business
- Performs administrative duties relating to booking and planning
customer functions such as banquets, day meetings and group
overnight programs (15-20) rooms per night
- Plans details of each group's activity/program: audiovisual,
food and beverage, room block management, upselling recreational
and tour activities, amenities for conferees, upselling theme
parties/off-site events, transportation requirements/arrangements,
etc.
- Distributes written material to customer and internal staff
(proposals, resumes, meeting planner kits, etc.)
- Stays available while groups are on-site for assistance and
event management
- Follows-up on conference details (group re-cap, assessments,
billing, re-booking etc.)
- Performs other duties and events as assigned Qualifications:
- Must be detail oriented and organized
- Must have professional appearance, demeanor and attitude, able
to interact with top executive-level groups and their planners and
PICs
- Ability to qualify business, negotiate contract details and
close the sale
- Ability to establish and maintain good working relationships
with operations and departments in the resort
- Ability to resolve problems and challenging guest requests on
the spot
- Ability to plan multiple groups and perform multiple tasks
- Ability to lift, push, pull a minimum of 25 lbs., stand, walk,
sit, stoop, kneel reach or perform repetitive foot and hand action
for at least 8 hours to perform the duties of the job
- College degree with experience working in a luxury hotel and
planning weddings, preferred
- Experience using software such as: Delphi, Meeting Matrix,
Opera PMS, preferred
- High school diploma and 2 + years of catering sales experience
and one year conference planning, hospitality supervisory or sales
experience in the hospitality industry required (or equivalent
experience in a corporate setting), required
- Ability to be flexible with hours and work days, nights,
weekends, holidays
