Job Description:

Compiles and maintains records of business transactions and office activities the Commercial Sales & Leasing division. Has the ability to perform multiple duties, such as being able to handle confidential materials, correspondence, memos, reports, and presentations. Arranging complex agendas, travel arrangements, maintaining department filing system, preparing for meetings, and presentations are all part of the job description. Proficient in Microsoft Outlook, Word and Excel, excellent grammar and editing skills, and should also be able to work independently and as part of a team. This position is responsible for a full range of administrative responsibilities and must be able to handle an array of duties simultaneously.

Essential Duties and Responsibilities include the following. Special duties include but are not limited to:

Independently schedules appointments. Maintains department files.

Manages expiration dates of listings, leases.

Tracks critical dates of contracts.

Maintains database of tenants, prospects, and brokers on Constant Contact. Sends out routine email blasts marketing listings.

Screens incoming calls and responds independently when possible.

Arranges marketing programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.

Composes and prepares confidential correspondence, reports, and other complex documents.

Creates and maintains database and spreadsheet files.

Copies data and compiles records and reports.

Prepares, issues, and sends out receipts, bills, policies, invoices, statements, and checks.

Operates all office machinery such as computer, calculator, copying machine, fax, etc.

Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.

Calculates commissions.

Creates and updates marketing materials, including but not be limited to taking property photographs, scanning building and space plans.

Maintains online listings on commercial listing service and company website.

Prepares press releases, blogs and reports for media and social media.

Performs other duties as assigned.

Education and/or Experience

Bachelor's degree (B. A.) from a four-year college or university preferred; or at least three years related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Write reports, business correspondence, and procedure manuals. Effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills

Calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

Reasoning Ability

Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
