Retirement Services Assistant

Job Description:

Position Summary: Under general direction, responsible for supporting the Retirement Services staff with day-to-day duties associated with the management of IRAs, corporate retirement plans (qualified and non-qualified), and brokerage accounts. Includes, but not limited to, correspondence, reporting, deposits and disbursements, filing, and other account activities as needed.

Essential Functions:

  • Assists with processing, retrieval, and extracting of 401k payroll files/reports into the appropriate excel database in preparation for upload.

  • Assists administrators with calculations, form preparation and verification for distributions from accounts.

  • Assists in the preparation of documents for internal processes including investment reviews and administrative reviews.

  • Assists administrators with preparation for client meetings, including enrollment meetings and annual plan review meetings.

  • Performs all work in compliance with applicable regulations/policies and procedures.

  • Performs other duties as assigned.


Position Requirements (Knowledge/Skills/Abilities):

  • General understanding of essential office functions and peripherals.
  • Basic to an intermediate level understanding of accounting principles and concepts.
  • Intermediate knowledge of MS Word, Excel and Outlook.
  • Skill in adopting technological advancements and facilitating into current and future responsibilities.
  • Strong written and oral communication skills and ability to distill and convey information in a compelling manner.
  • Skill in changing communication approach to meet the situation or customer.
  • Ability to anticipate, monitor, and meet the needs of customers and respond in an appropriate manner.
  • Ability to anticipate and respond to needs and demands of customers (both internal and external).
  • Ability to learn job specific software applications.
  • Ability to bring together components of a project or initiative, including resources or planning, that are needed to complete it in a timely manner.
  • Ability to develop, maintain, and strengthen partnerships with others inside or outside the organization who can provide information, assistance, and support.
  • Ability to attend to details and pursue quality in accomplishing tasks.


Education/Experience:

  • High School Diploma or GED.

  • Advanced education with a focus in finance preferred.

  • Working experience with IRAs, corporate retirement plans and brokerage accounts preferred.
