Landing, a CARF-accredited Life Plan Community, seeks a full-time
Relocation Coordinator to join our Marketing team. The Relocation
Coordinator ensures a timely, smooth, and successful transition
into and out of residences for new and current residents. This
individual communicates with the resident, their families and all
relevant departments in the coordination of moving in or out of
Williamsburg Landing Independent Living. The position extends to
assisting with new resident orientation as well.
ESSENTIAL JOB FUNCTIONS
- Monitors projected vacancies and schedules walk-throughs of
units with Facilities; coordinates turnover specification sheets
for the Assistant Directors of Marketing to use in marketing the
home.
- Reviews customization/standards/finish options for residential
homes and makes recommendations for updates as appropriate, ensures
display boards are current and professionally displayed
- Manages the approval process for incoming residents; ensures
timely submission from prospects and timely responses from
respective departments responsible for evaluations. Monitors &
maintains project management log
- Confers with Assistant Directors of Marketing to identify the
scope of coordination needed for incoming or transferring
residents
- Assists incoming and transferring residents with completing a
comprehensive selection list outlining alterations to their new
home
- Hosts weekly meetings with Facilities to review the project
management log, ensuring incoming residents' expectations are
managed and turnover time is minimized
- Establishes and maintains collaborative, professional, and
productive working relationships with other departments and with
outside vendors to ensure work progresses in a timely manner.
Insures all outside vendors comply with WL policies and procedures
(insurance requirements etc.)
- Conducts walk through inspections at various periods during the
renovation process and manages punch lists accordingly to ensure
the home meets the new residents' approved modifications by the
time of settlement and move-in
- Coordinates transfers and cancellations of utilities
- Sends new resident notices and unit status updates to
appropriate staff and committees. Post resident names are posted at
the respective apartment sign outside their door
- Manages resident storage inventory; ensures storage areas are
clean, well labeled, and emptied out when residents vacate the
community (assigned cage/health club storage/garage storage)
- Maintains and updates sales database and completes multiple
reporting forms to ensure communication to all relevant
departments
- Coordinate updates in relocation kits, welcome packets,
approved vendor lists and business forms used in the normal course
of business with Marketing Office Coordinator
- Coordinates and delivers move in day lunch delivery and welcome
gifts for new residents
- Assists with the waitlist process as requested
- Assists the Chief Marketing Officer in effectively managing the
Model Home Inventory & Program and special events as needed
- Evaluates work processes and methods and submits
recommendations for continuous quality improvement
- Performs other duties as assignedQUALIFICATIONS
- High School Diploma/GED required
- Bachelor's degree preferred
- Two (2) years of related experience in senior housing industry
preferred
- Valid Commonwealth of Virginia Driver's License
- Strong organization skills and attention to detail
- Knowledge of interior design style
- Demonstrated sound professional judgment, problem solving,
decision making, and patience & time management skills
- Proficiency with Microsoft Office Suite & Google Drive and
ability to learn new software applications; experience with
proprietary software with preference given for experience with
database programs
- Excellent verbal and written communication skills
- Knowledge and understanding of issues facing seniors and their
families during significant life transitions and ability to
effectively work with them during such times
- Ability to spend considerable portions of the day standing and
