Job Description:

US Facilities, Inc., a consolidated facility management service company, is seeking a Highway Maintenance Management System (HMMS) Maintenance Record Specialist to work on one of our projects in Southeast Virginia. The successful candidate possesses the following skills/experience:

Scope of Work:This position is in support of the Virginia Department of Transportation Hampton Roads Harbor Tunnels (HRHT) and will be located at the Monitor Merrimac Memorial Bridge Tunnel (MMMBT) facility. The role of this position will be to accomplish, on a routine basis, the following responsibilities:

HRHT Maintenance Admin Front DeskGreet and direct visitors
Answer calls and walk-up requests for maintenance service
Keep track of and order office supplies as needed
Keep network printer supplies stocked

Work Order RequestsCreate/update work orders per requests that come in email group, phone call, email, walk-in
Review all work orders in the Corrective Review queue and create/assign correctives as needed
Provide updates/escalate requests as needed
Work order distribution and data entry
Maintain organized hard copy and electronic files

Data UpkeepUpdate database assets when equipment is replaced
Perform scheduled and ad-hoc data scrubbing and QA/QC tasks as assigned by Program Admin

ReportingRun and distribute scheduled maintenance reports
Respond to ad-hoc requests for maintenance information using HMMS database

HMMS Field User Training/SupportProvide basic training for HMMS field users and serve as first point of contact for user support, escalating as needed to Program Admin

Schedule visitors for site visits per applicable security policies/procedures
Any other duties assigned by a Supervisor or Project Manager

May be required to perform additional or different duties from those set forth above to address business needs and changing business practices.



2-4 year college degree (preferred)
High School diploma or demonstrated equivalent required


Virginia Drivers License in good standing required

Minimum Requirements:

Capable of multi-tasking and working in a fast-paced environment.
Knowledge of Hampton Roads Interstate and local roadways. (desired)
Knowledge of the construction industry/trade (desired)
High level of proficiency in all MS Office products.
Should be able to perform MS Excel exports, operate filters and create/work with pivot tables
Strong command of the English language. (to include punctuation, sentence structure, and technical editing)
Experience in corporate communications. (to include: report preparation, formatting and delivery)
Prior experience in budget reconciliation and financial analysis. (preferred)

18 years of age or older
Drug Screening
Background Check
90-day probation period

Work Conditions:

Office environment and industrial area
Often working independently and self-supervised.
Deadline oriented.
Employee-to-employee interaction and fact finding.
May be asked to work evenings/weekends for special data collection projects.



NOTE: This position is designated as essential and, as such, all duties associated with this job are required during emergency situations which may include but are not limited to inclement weather, disaster response and emergency operations. VDOT/Contract Management will determine when essential positions are required. Valid driver's license is required. DMV records check by the Department is required. Fingerprint-based Criminal History Records Check is required.
